Policies & Procedures

Banners and Signs: In order to maintain the attractive appearance of our public spaces, we ask you to adhere to the following guidelines when placing signage in our hotel: -Signage is not permitted in the main guest lobby areas -Easels: Easels are required for placement of signage in meeting and event space areas. The use of pushpins, staples, nails, or duct tape is not permissible. Signs must be professionally printed and appropriate for public viewing. Dimensions should not exceed 28” x 36”. Handwritten signs and flipchart pads with writing are not permitted. -Banners: Banners or large signs may be placed inside your own assigned function space unless special arrangements have been made in your contract. All banners must be hung by PSAV based on your specific needs, and the cost is determined by the complexity of the job. Banner hanging must be arranged through your Catering or Convention Services Manager prior to your group arrival. Shipping and Receiving: In order to help expedite the timely delivery and return of packages, all boxes must be labeled with name of the group’s recipient (NOT the Hotel Sales or Service Manager), group name and the date of the program. A sample label is shown below. Please call or email your Catering or Convention Services Manager to provide them with the number of packages you are shipping, the method of shipping and expected delivery date to the Hotel. All packages will be held in the hotel package room until they are delivered to the designated room. Presentation Services Audio Visual is the preferred partner of the Sheraton New Orleans for full service, on-site audiovisual production. We are confident that PSAV will provide exceptional service for your event. PSAV also works closely with the hotel and meeting planner to make every effort to meet your budgetary requirements. Please email Chet Jaynes, Director of Sales, PSAV at cjaynes@psav.com or call: (504) 595-5532. 3rd Party Production Company Guidelines The Sheraton New Orleans maintains a full service, on-site audiovisual production company through PSAV Presentation Services. The Hotel recognizes that certain guests/clients may elect to bring in a third party supplier of audiovisual services (“Third-Party Vendor”). The Sheraton New Orleans and PSAV are able to meet any such request(s) provided the attached guidelines are followed and a copy of these guidelines are signed by the guest/client and the Third-Party Vendor and provided to the Hotel at least 30 days prior to the event. These guidelines have been developed to ensure the utmost safety and care for all guests of the Hotel and the Hotel premises, and to uphold a level of service and quality that is necessary to ensure a successful event.

Electrical

Description
PSAV is the exclusive provider of electrical services at the Sheraton New Orleans Hotel. Contact the convention services/catering department or PSAV for rate sheets and exhibitor order forms. PSAV: (504) 595-5516 or email cjaynes@PSAV.com. All equipment, regardless of source of power, must comply with federal, state and local codes. PSAV reserves the right to inspect all electrical devices and connections to ensure compliance with all codes. PSAV is required to refuse connections if wiring is not in accordance with local electrical codes. Use of open clip sockets, latex or lamp cord wire, duplex or triplex attachments plugs, or non-U.l approved equipment is prohibited. It is the responsibility of the production company to provide a listing of all power requirements two weeks prior to the show. There is a charge for electrical hook-up. Trade show orders for electric must be submitted to PSAV directly from each exhibitor. Re-selling of PSAV services is strictly prohibited.

HIGH SPEED INTERNET ACCESS The Sheraton New Orleans Hotel’s event space features high speed internet access wired and wireless capabilities. TELECOMMUNICATIONS The Sheraton Seattle Hotel is the exclusive provider for all telecommunication needs. Special requests should be received sixty days (60) prior to move in date. All other requests should be received forty-five (45) days prior to move in.

Rigging

Description
All rigging at the Sheraton New Orleans must be executed by PSAV. PSAV is responsible for the overhead safety of our guests and employees. PSAV will have the final authority in all matters relative to overhead and production safety. The Director of Event Technology has final authority over all other aspects of rigging and safety production. Exclusive rigging for the Sheraton New Orleans is PSAV: please email cjaynes@psav.com or call: (504) 595-5516. All ceiling hanging must be conducted with the Sheraton New Orleans Hotel exclusive rigging staff PSAV. All equipment and materials flown must pass American Test and Standards Measurement guidelines and be OSHA approved. Final decisions about the safety limits of any item will reside solely with PSAV. The removal of ceiling tiles and access to the structure above the tiles is strictly prohibited. All rigging must be scheduled through Presentation Services – Audio Visual Department, this is not a complimentary service. Minimums of 45-business days advance notice to request the Sheraton New Orleans Hotel rigging staff is required. To arrange rigging, please email cjaynes@PSAV.com or call: (504) 595-5516. The scissor lift is available for use at a rate of $250.00/per day. Individuals using lift must present proper certificate of completion and must have OSHA approved harness as well. Rigging services must be contracted for any items that are to be hung from our ceiling of any meeting room or public area within the hotel. Should you decide to work with an outside provider, they will be assigned a PSAV contact to make arrangements for any rigging or special needs for your group program.
