Safety & Security

Overview Description Westin Lombard Security Department Our security department operates 24 hours a day, patrolling the hotel and responding to guest needs and emergencies. Specialized security arrangements for function rooms, equipment, and registration and traffic control are available with advanced notice through your convention services manager. We can provide additional security at the rate of $50.00 per hour. Additional security is highly recommended for any meeting rooms, containing valuable equipment or merchandise overnight. The hotel is not liable for any loss or damage incurred. Meeting room rekeying is available for $75.00 per room and 4 keys are included in the rekey. Any additional keys are available for $10.00 per key.
Security Officers Event Security All specialty requests for security using public spaces, such as auctions, exhibits and other events, must be contracted by the group. Security can be requested by contacting the catering/convention services manager assigned to your event. Security personnel can be pre-arranged at $50.00 per officer, per hour with a (4) four hour minimum. Arrangements must be made 10 business days in prior to date needed. Lost and Found Lost and Found If a guest has misplaced an item, please instruct them to contact the hotel’s lost and found department located in housekeeping as soon as possible. The hotel is not responsible for any items left in guest rooms, meeting space, vehicles or other hotel premises.

Emergency Plan Emergency, Life Safety and Medical Assistance In case of a hotel emergency, please dial “0” on any hotel phone. The Westin Lombard security staff members receive basic CPR and AED training from a certified instructor on an annual basis. The Westin Lombard is equipped with two automated external defibrillators (AED) located in the front office and security. The hotel maintains an ongoing safety awareness program for all associates, including fire training, and security awareness. A list of nearby hospitals is available upon request. The fire alarm system is equipped with strobe lights and audible alarms, and sprinklers in all areas of the hotel. Fire extinguishers are located on every level of the hotel for easy access. Guest evacuation routes and safety information are posted in all guest and meeting rooms.

Policies & Procedures

Overview Description: Food and Beverage Policies and Procedures Due to licensing requirements and for quality control, all food and beverage served at the westin lombard must be supplied and prepared by our hotel. Menu prices will be confirmed on Banquet Event Orders (BEOs). A service charge, currently 23% of the total food and beverage revenue (plus all applicable taxes) will be added to all food and beverage charges. Included as part of the food and beverage service charge is a gratuity (currently 17.71% of total food and beverage revenue) that is currently paid directly to food and beverage service staff. The remainder of the service charge is retained by our hotel to cover non-itemized costs of the event. No other fee or charge, including, but not limited to, administrative fees, set up fees, labor fees, or bartender or food station fees, is a tip, gratuity, or service charge for any employee. Ancillary Services The Westin Lombard may provide, or contract with third parties to provide, ancillary services (e.g., A/V, drayage, florists, exhibitors) to our customers an for additional charge. Except with respect to certain services (e.g., rigging services), clients may use its own vendors for such services provided that the proposed vendors meet minimum standards established by the westin lombard, including insurance and indemnification requirements. With respect to audiovisual services, our clients will inform our hotel of its decision to bring its own vendor at least 60 days prior to the event date, and will sign, and have its audiovisual vendor sign, an acknowledgement of our hotel’s Audiovisual Service Standards at least 45 days prior to event date.
Banners and Signs: Banners and Signs In order to maintain the attractive appearance of our public spaces, we ask you to adhere to the following guidelines when placing signage in our hotel: Easels: Easels are required for placement of signage in meeting and event space areas. The use of pushpins, staples, nails, or duct tape is not permissible. Signs must be professionally printed and appropriate for public viewing. Banners: Banners or large signs may be placed inside your own assigned function space unless special arrangements have been made in your contract. All banners must be hung by either our Engineering Department and the cost is $90 per hour with a half hour minimum. Banner hanging must be arranged through your Catering or Convention Services Manager prior to your group arrival. Gobos: Looking for a special touch to add to your event? PSAV will be pleased to create a custom gobo light presentation of your preferred logo for use at your events with us and in the future. Please arrange 21 days prior to your groups arrival by contacting PSAV at 630-261-1136.

Shipping and Receiving: Shipping and Storage Hotel does not have storage space for crates, pallets or large shipments. Any materials to be sent to Hotel may arrive no earlier than 3 business days in advance. A handling and storage fee of $25 per box/item will be added to your Master Account charges for any materials sent to Hotel. Please refer to Package Handling Documentation for all shipping and receiving charges.

Presentation Services Audio Visual-PSAV Westin Lombard delivers and wins with their on-site audio visual company-presentation services. As a leading provider of audiovisual services nationwide, Presentation Services is able to accommodate all of your presentation technology needs. They can be contacted directly at 704-335-2027. Presentation Services has an exclusive agreement with The Westin Lombard. In the event you may wish to use a third party audiovisual company, certain pre-requisites apply and you will be subject to certain fees billed to your master account.


Electrical The Westin Lombard and psav are the exclusive providers of electrical services. contact the convention services/catering department or psav for rate sheets and exhibitor order forms. All equipment, regardless of source of power, must comply with federal, state and local codes. psav reserves the right to inspect all electrical devices and connections to ensure compliance with all codes. Psav is required to refuse connections if wiring is not in accordance with local electrical codes. Use of open clip sockets, latex or lamp cord wire, duplex or triplex attachments plugs, or non-U.l approved equipment is prohibited. It is the responsibility of the production company to provide a listing of all power requirements two weeks prior to the show. There is a charge for electrical hook-up. IT & Telecommunications

High Speed Internet Access The Westin Lombard offers three distinct areas of internet service: guest rooms, meeting rooms and lobby area. internet service must be paid for separately in each area as service does not transfer from one area to another. Our lobby area does offer complimentary internet access for all guests by using access point "westin-lobby". Guest Room Internet Wireless internet service is accessed within the guest rooms by connecting to the access points named "westin-guestrooms." if you choose a wired connection, you will be provided a roaming password so that you may later connect to the guest room wireless. the roaming password for your guest room will not access the internet in the meeting areas. Each computer or device that logs onto the internet will count as a connection. Meeting Room Internet Wireless internet service is accessed within the meeting areas by connecting to the access points named "westin-meetingrooms". All meeting areas have both wired and wireless services. Please note that each computer or device that logs onto the internet will count as a connection. Access codes are required for use. Your convention service manager can discuss pricing specific to your needs.
