Emergency Plan General Evacuation Guidelines Begin the evacuation process upon hearing the general fire alarm or being given verbal instructions to evacuate. Use fire stairwells to evacuate - never use elevators Walk, do not run Stay calm Always place your hand on the back of the door before opening the door. If it is hot, do not open the door; find an alternate route. If you enter a smoke filled area, seek another exit route if possible. if you must pass through an area congested by smoke, cover your mouth and nose with a towel or piece of clothing, dampened with water, if possible. crawl low along the wall to the exit, using the walls and doorways as a guide in case you are unable to see due to smoke or power loss. Ensure that fire doors are not blocked open. Process to the designated evacuation assembly areas. Report anyone stranded to the fire control room, emergency response team member, or fire department personnel. In the event that you are unable to evacuate due to a blocked exit or other barrier, try to enter a guest room or other area free from fire and smoke. immediately call security at extension 6038 and advise. Evacuation Procedures In the event of a partial or total evacuation due to fire or other emergency situation, the following procedures will apply: Guests are to be directed to the flat parking lot across the street. Fire and Safety All doors which are a means of exit may not be obstructed, locked, or fastened in a manner that would prevent exit from the area in the event of an emergency. Special approval required for fog/haze machines. Fire watch is mandatory when using pyrotechnics, laser, fog, haze, and all similar machines. Fire marshall approval must be obtained at least forty-five (45) days from the event date. Certificate of insurance is required from all outside vendors. Obstructions that hinder the effective operation of the automatic sprinkler system are not permitted. Emergency exit signs may not be obstructed from view. Candles must be placed in tip proof holders and the flame must be protected. No alcohol fuel based system is permitted for lighting, cooking, or warming. Candles or open flame devices are not permitted in guestrooms.

Policies & Procedures

Banners and Signs: Nothing may be attached to the walls and ceilings. A walk through is to be arranged with a designated person and Hotel representative after the dismantling. A $60.00 fee will apply for banner hanging in any of our meeting rooms. All displays, exhibits, decorations, equipment, must enter the Hotel via loading dock. Delivery time must be coordinated with the Hotel in advance. Special ingress and egress, insurance and security requirements may apply in the case of events with decor, sets, special lighting or special sound; please consult with your Catering and Convention Service Manager prior to finalizing such arrangements.

Service charges for shipping boxes from the hotel: $3 per box (1-5 lbs) $5 per box (6-10 lbs) $10 per box (11-30 lbs) $15 per box (31 lbs & over) Receiving from the hotel A service charge will apply for boxes/materials shipped from the hotel. Service charges will be applied as follows: 0-5lbs $5.00 per box 6-20lbs $10.00 per box 21-50lbs $15.00 per box over 50lbs $25.00 per box any items on a crate or pallet $75.00. Any item over 250lbs must be delivered to a drayage company at the client’s costs; your hotel contact can assist you with these arrangements. Any boxes needing returned shipping will have a handling fee of $5.00 per box. Actual cost of shipping will be at the client’s expense.

PSAV is the leading provider of audiovisual and event technology support to hotels, associations, producers and meeting planners worldwide. With on-site offices at nearly 1000 locations worldwide, PSAV is committed to making every live event an unforgettable experience. PSAV has a long standing partnership with The Westin Riverwalk Hotel and provides a variety of event technology services including: audiovisual support, highspeed internet, on-site technical support, social event lighting, and computer services. For pricing and more information on PSAV, please visit Third Party Audio Visual Suppliers All Third Party A/V Suppliers planning to do audiovisual work within Hotel’s premises or grounds must: a. contact Hotel at least 60 days prior to the date of the Event; b. place on file with Hotel at least 45 days prior to the date of the Event, a certificate of insurance showing a minimum coverage of $3,000,000.00. This certificate must name Hotel and its ownership as additional insureds; c. assume complete responsibility for equipment loss or theft. Hotel accepts no responsibility for Third Party A/V Suppliers' lost or stolen property; and d. properly dress (drape) all screens, carts and stands. To maintain the integrity of Hotel’s in-house audio system, Third Party A/V Suppliers are not permitted to patch into this system unless approved by the professional assigned to such Third Party A/V Supplier by Audio Visual Services Group, Inc. d/b/a Presentation Services (“PSAV”). The PSAV professional assigned to the Third Party A/V Supplier will assess and monitor the patch and where damage to Hotel’s system may occur the PSAV professional may elect to disconnect such patch until a safe connection and equipment are used.
