If you wish to take a cab from the George H. Bush Intercontinental Airport or William P. Hobby Airport, estimate a $52.00 or $42.00 zone/flat fare respectively to or from the hotels, and up to four people can ride for the price of one person. Emergency Plan General Hotel Evacuation Begin the evacuation process upon hearing the general fire alarm or if you are given verbal instructions to evacuate. Use fire stairwells to evacuate - never use the elevators. Evacuation meeting points are as follows: Westin Oaks Evacuation Point - Located on the surface parking area of the mall in the northwest corner, near the corner of Westheimer Road and Post Oak Boulevard. Westin Galleria Evacuation Point – Located at the church parking lot across the street from the Westin Galleria on West Alabama Road. Walk, do not run. Stay calm. Always place your hand on the back of the door before opening the door. If it is hot, do not open the door; find an alternate route. If you enter a smoke filled area, seek another exit route if possible. If you must pass through an area congested by smoke, cover your mouth and nose with a towel or piece of clothing, dampened with water, if possible. Crawl low along the wall to the exit, using the walls and doorways as a guide in case you are unable to see due to smoke or power loss. Ensure that fire doors are not blocked open. Proceed to the designated evacuation assembly areas. Report anyone stranded to the Fire Control Room, Emergency Response Team member or Fire Department personnel. In the event you are unable to evacuate due to a blocked exit or other barrier, try to enter a guest room or other area free from fire and smoke. Immediately call Security at extension 0 and advise them of your situation and location. Once in the room, start to fill the bathtub with as much water as possible. Soak towels, sheets or other fabric in the water and place the wet fabric in the cracks between the door and the floor, frame, etc. Turn off the heat or air-conditioning unit. Cover the vent with wet towels or sheets. Do not open the window or try to break the glass unless directed by Fire Department personnel. SAFETY BRIEFING Alarm Sounding: When the alarm is activated you will hear the horns sounding and the strobes will start flashing (red box on the wall). The automatic voice message will activate informing you to proceed to the nearest stairs or exit and wait for further instruction from the Fire Warden. The Houston Fire Department will arrive and give the all clear for you to proceed back into your meeting space once the alarm has been checked out and everything is clear of smoke or fire or the cause of the alarm being activated has been determine. The alarms and strobes will be reset and placed back in normal mode. Once the okay to proceed back into your meeting has been given by the Fire Warden and Hotel Management you will then hear a security personnel come onto the loud speakers and announce the all clear message live. There are fire extinguishers located next to each of the stairwell entrance doors. Emergency Exit Floor Plan Please contact the hotel’s Director of Security for a copy of the emergency exit floor plan. Carolyn Nickerson Director of Security 713-960-6582 (p) Fire Safety All doors which are a means of exit may not be obstructed, locked or fastened in a manner that would prevent exit from the area in the event of an emergency. Special approval required for fog/haze and laser machines. Fire watch is mandatory when using pyrotechnics, laser, fog, haze and all similar machines. Fire Marshall approval must be obtained at least forty-five (45) days from the event date. Certificate of insurance is required from all outside vendors. Obstructions that hinder the effective operation of the automatic sprinkler system are not permitted. Emergency exit signs may not be obstructed from view. Candles must be placed in tip proof holders and the flame must be protected. Candles or open flame devices are not permitted in guestrooms. Houston Emergency Management Office: The Houston Emergency Management office is a local government agency which coordinates large-scale emergency situations in the City of Houston. Emergency Management is responsible for coordinating the City of Houston's preparation for and response to emergency situations.

Policies & Procedures

Banners and Signs: Please advise your Catering Manager or Convention Services Manager of any banners that need to be hung during your event. A $30.00 charge for each 3’ banner will apply. Larger and more complex banners may incur additional charges. Banners and/or signs must be professionally printed or computer generated. Hand-lettered signs or banners are prohibited. The Hotels will, unless otherwise instructed, post your program daily on reader boards located throughout the hotel. The hotels do not allow any signage to be displayed in the main reception area of the hotels.

Exhibits: The Westin Galleria and Westin Oaks Houston at the Galleria recommend that all exhibit or trade shows use a drayage, decorating or exhibit company for booth or table exhibits. The Houston Fire Department regulations must be adhered to with a floor plan submitted for approval no less than 30 days prior to the show. Copies of all approved diagrams, insurance liability and permits must be submitted to your Catering Manager or Convention Service Manager at least 21 days prior to setup. Failure to follow these specifications may result in your exhibit or setup being terminated by the Houston Fire Department. The Houston Fire Department may require a fire watch for certain productions, exhibits, laser or potential shows. A minimum of 21 days notice is needed to order a fire watch. Contact the Houston Fire Department, Mr. N, Mitchell Gonzales, Senior Fire Inspector at 713-865-9056. All forklifts and high lifts used in the exhibit area or freight doors must be battery or electric powered. All exhibit space, freight areas and dumpster areas must be cleaned and returned to the original condition as when it was given to the exhibit/production company on setup day. Failure to return the exhibit area in the condition it was given will result in cleaning charges to the master account. The Westin Galleria & Oaks will not be responsible for any equipment or materials left on site. The Westin Galleria and Westin Oaks is a smoke-free facility, including all guest rooms, meeting space and public areas. The customer is responsible for any charges or damages exhibit/production company incurs while in the employ of the customer. The Westin Galleria and Westin Oaks do not permit anything to be nailed, screwed, posted or otherwise attached to columns, walls, floors, furniture or other parts of the building without prior approval and signature of authorization to charge the master account should any damages occur. All security services must be approved in advance and provide a certificate of insurance to the hotel. Companies requiring electrical service must use the Hotel’s form. The Hotels doe not provide labor to assist with setup, unpacking of shipments or teardown of exhibits and/or trade shows. Consult with your Catering Manager or Convention Services Manager to discuss appropriate charges if temporary help is required.

AV & Technology

Audio Visual

The Westin Galleria & Westin Oaks Houston at the Galleria preferred in-house audio visual company is Presentation Services (PSAV). As a leading provider of audio visual services nationwide, PSAV is able to accommodate all of your presentation technology needs. They can be contacted directly at 713-960-6517. The hotels have an agreement for full service, on-site audio visual production with Presentation Services (PSAV), and is confident that PSAV will provide exceptional service for your group’s event and will make every effort to meet group’s budgetary requirements. The Hotels recognize that groups may instead elect to use a third party supplier of audio visual services, however certain pre-requisites apply and you will be subject to certain fees billed to your master account. Groups agree to inform the hotels of any decision to bring in the third party supplier a minimum of sixty (60) days prior to your event to insure that such third party supplier has full copies of the hotel’s audio visual services standards, hotel regulations and cost associated with both prior to the planning process. Upon receipt of such notice a sales, convention services or catering manager from the hotel will provide groups with an addendum which addresses third party supplier compliance to the audio visual service standards and hold harmless agreement wand must be signed by either the group or its third party supplier a minimum of forty-five (45) days prior to group’s event. Please know that each standard is focused on customer service, protection of property and hotel guest safety and security and must be followed by all third party suppliers providing services at the hotels.


The Hotel’s Engineering Services department can arrange for all your electrical needs and are required for any “patching” to hotel’s sources. The Hotel must receive all requests for special engineering or electrical needs at least 21 working days prior to your event. Only the Hotel Engineering staff can provide electrical connections to the Hotel property. Your Catering Manager or Convention Services Manager can assist you with these arrangements. For exhibits, all electrical and telephone requests received prior to the show will be installed before or during exhibitor set-up. All requests received on-site are not guaranteed and will be installed on a first come, first served basis.

Please advise your Catering Manager or Convention Services Manager what type of usage we can expect from your group in the following outlets: White Oak Kitchen + Drinks Located on the third floor of The Westin Oaks Houston at the Galleria, revitalize your body and enjoy simple ingredients with a modern twist. Whether you are indulging in breakfast, lunch or dinner, you are sure to find your new favorite dish here. You will love our style of traditional breakfast and delectable appetizers for lunch and dinner. Standard hours of operation are 6:30 AM - 11 PM Monday-Saturday and 8 AM - 9 PM Sunday. Daily Grill Located on the second level of The Galleria, just outside The Westin Galleria (via the third level), this full service restaurant seats approximately 225 guests, includes a private dining room, reminiscent of the great grills of yesteryear, which served large portions of freshly-made recipes, cooked to order. Today, restaurant-goers count on Daily Grill for Cobb salad, meatloaf and mashed potatoes, Angus Beef, fresh seafood, and homemade desserts like fresh fruit cobbler every day, and is open daily for breakfast, lunch and dinner.
